The real day in a spa or massage practice
A spa runs on a schedule of rooms and people. The front desk, if there is one, is checking guests in, handling checkout and folding towels. In a smaller practice the therapist is the front desk, and for an hour the phone belongs to the person on the table.
The calls are mostly the same few questions: what do you have this Saturday, how long is the hot stone session, do you do couples, can I buy a gift card, what is your cancellation policy. They arrive in bursts around lunch and after work, which are exactly the hours the rooms are full.
Where bookings and reviews slip
- Gift card and group calls. Birthday parties, bridal groups and couples bookings are the larger tickets, and they are the callers least likely to leave a voicemail.
- Scheduling by room and by therapist. A booking that ignores which room is free or which therapist offers a service creates a phone call you did not need to make.
- Late and empty slots. A cancellation at noon for a two o'clock room is easy to fill only if someone can tell people about it quickly.
- Quiet satisfaction. Guests who leave relaxed rarely write anything. A review request sent while they are still enjoying the afternoon is the one that gets answered.
What we set up for your spa
All of this is built around your menu, your rooms and your rules, in your spa's name.
- Phone answering. Nora answers the calls you miss in your spa's name, in English or Spanish. She takes the guest's details, offers the open times on your calendar, or takes a message for the front desk to return.
- Booking page per service. Each service is its own page with its real length and buffer time. Guests get a confirmation, reminders, and links to reschedule or cancel. A QR code for the counter and the receipt sends walk-ins to the same page.
- One inbox. Email, Facebook, Instagram and Google chat in one thread per guest, so a question asked on one channel is not answered twice.
- Reviews. After the visit every guest gets the same request with a direct link to Google, plus a line to tell you directly. A low rating anywhere pings you.
- Website, Google listing and social. A one-page site that books, your listing fixed and kept right, and reels and posts made from the clips and photos you send.
- Invoices and payment links. Estimates for group bookings and payment links sent from the phone.
What Nora will not do
Nora books and takes messages. She does not give advice about anyone's health or body, and she does not describe what a service will do for them. If a caller asks a question like that, she says the team will follow up and takes the number. She repeats your approved description of each service and your policies exactly as you wrote them. Calls you mark as urgent, such as a guest running late for a booked room, can be flagged and pinged to you right away.
Go deeper on each part
Three pages cover the jobs a spa asks about most. Each is written for the way a spa actually runs.
- Missed calls for day spas and massage: what a guest hears when the front desk is busy, and how it gets handled.
- Online booking for day spas and massage: services by room and therapist, buffers, reminders and reschedule links.
- Reviews for day spas and massage: asking every guest at the right moment, with a direct line to you.
Where to start this week
Look at last month's schedule and find the rooms that sat empty on a weekday afternoon, then check whether any of them lined up with times the phone went unanswered. Ring your own number during a busy hour and write down what a first-time guest would experience. That small test usually shows whether the gap is the phone, the booking page or the follow-up.
The free report shows how your business looks online next to the ones people compare it with, and the 15-minute review walks through what this would look like in your day.
Questions owners ask
Can guests book a service with a specific therapist?
Yes. If each therapist has a calendar, the booking page offers times by person or the next opening with anyone.
Can I sell gift cards through this?
Gift card questions are answered from your approved details, and payment links can be sent from the app. Tell us how you run them today and we set it up around that.
Does Nora answer questions about what a service does?
No. She repeats your approved description and takes a message for anything beyond that.
Will callers know it is an assistant?
If asked, Nora says she is an AI assistant for your company.
