HVAC · Booking

Online booking for HVAC, from repair calls to tune-ups.

A homeowner choosing a heating and air company wants a time, not a phone tree. A booking page per service lets them pick a repair visit, an estimate or a tune-up while your crew stays on the job.

The schedule is the product

For a service company, the calendar is the thing you sell. A tech who drives across town for a fifteen-minute filter swap and then sits idle is as costly as a missed repair. A dispatcher, or an owner doing the dispatching at night, spends hours matching jobs to trucks and neighborhoods.

Most of that matching can be started by the customer, if the booking page asks the right questions. A repair visit, a replacement estimate and a spring tune-up are three different jobs with three different time blocks and sometimes three different techs.

One page for each kind of visit

Centera builds a booking page for each service you offer. A repair or diagnostic visit can ask what is going on and where, and offer the next open window. A replacement estimate can ask about the home, the age of the system and the number of floors, so your estimator arrives knowing what to bring. A maintenance visit can be offered at times that suit the season.

You set the length of each visit, the days and hours your techs are available, and the service area the page accepts. Addresses outside it can be turned away politely or sent to you as a request.

What happens after they book

  1. The job lands on the calendar. Synced with the one you already use, with the address, the problem and the customer's contact details attached.
  2. A confirmation goes out. The customer receives the date, the arrival window and what to do beforehand, like clearing a path to the unit.
  3. A reminder follows. It cuts down on wasted trips, which cost real fuel and a slot another household could have used.
  4. Changes are self-serve. Reschedule and cancel links in every confirmation let a homeowner move the visit without phoning the shop.

Seasons and maintenance plans

HVAC demand comes in waves. In a heat wave, the page can show only the windows you really have and stop taking bookings when the week is full. In shoulder seasons, when the phones are quieter, you can push tune-ups to past customers. A booking page is also the natural home for a maintenance plan: a customer who signs up for yearly visits can book the next one from the same link in their confirmation.

A QR on the truck and the invoice

You also get a QR code that opens your booking page. Put it on the side of the truck, on the leave-behind sticker next to the air handler, and on every invoice. The next time the unit acts up, the customer scans the code, not a magnet half-hidden behind the fridge.

The 15-minute review walks through a booking page built around your own service list.

Questions owners ask

Can I limit the page to my service area?

Yes. You set the area, and requests from outside it come to you as messages instead of bookings.

Can the page ask what is wrong with the system?

Yes. Each service page can ask the questions your techs want answered before they arrive.

What about emergencies?

You choose what counts as urgent. Those requests are flagged and pinged to you, so you can call the customer back at once.

Do customers get text reminders?

Text confirmations start once your business texting is registered. Until then, reminders go by email and in the app.
